How to check any travel company before you pay
Booking a long trip from abroad takes trust, so we encourage you to make these checks with us or with any other company:
- Look up the company in the official register of its country, by its legal name and tax number.
- Read reviews on independent sites, not only those on the company’s website.
- Ask for a written itinerary and quote that list what is and is not included.
- Read the terms before paying a deposit, above all the cancellation rules.
- Pay by bank transfer or credit card, and keep the confirmation.
How booking and payment work
We start by understanding your interests, dates, budget and preferred hotels, and design an itinerary for you. We refine the proposal until you are happy with it, and we ask for a deposit only once you have approved the final itinerary. Your reservation is confirmed when we receive the deposit.
| Payment | What applies |
|---|---|
| Deposit | For trips confirmed more than 90 days before departure: 40% of the total trip cost, plus any domestic flights paid in full. For smaller bookings: US$750 per person on trips under US$2,000, or US$2,000 per person on trips under US$5,000. The greater amount applies. |
| Different deposits | Easter Island, the Galápagos Islands, the Uyuni Salt Flats, premium trains and peak dates may have different conditions. We tell you at the time of booking. |
| Balance | 40% of your balance is due 60 days before the trip, and the rest at least 45 days before it starts. If you book fewer than 60 days before travel, full payment is due within five days of approving your itinerary. |
| Flights | Flights booked through us are paid in full at the time of booking and are non-refundable and non-transferable. |
| How to pay | Bank transfer, wire transfer or credit card. |
We do not sell travel insurance. We strongly recommend a comprehensive policy, bought within 15 days of paying your deposit, and we are happy to recommend providers.
Changes, cancellations and refunds
| If you… | What happens |
|---|---|
| Postpone up to 30 days before travel | Tell us in writing. We move what you have paid to a new date within one year, less a US$200 administrative fee and any non-refundable expenses. Prices may rise if the trip moves to the next calendar year. |
| Change a confirmed trip | Send the change in writing for approval. Fees, rate differences and hotel availability may apply. |
| Cancel at least 30 days before departure | Tell us in writing. Where a refund applies, we deduct a cancellation fee of US$125 per person or US$500 in total, whichever is greater, and any non-refundable expenses, such as flights, trains, hotel deposits or permits. |
| Cancel 30 days or fewer before departure, or do not show up | The trip is non-refundable. Contact your travel consultant as soon as possible: we may be able to recover part of the cost, but we cannot guarantee it. |
| Have already started the trip | We do not refund unused hotels, transfers or services, including those missed because of transport delays. |
This is a summary. The full Terms & Conditions apply to every booking. They also explain that we coordinate independent hotels, airlines, transport companies and local operators.
