Terms & Conditions

Booking your trip:

To book your dream journey with SOUTH AMERICAN LUXE S.A.C., simply reach out to us via email at info@southamericanluxe.com or WhatsApp at +51 941 011 159.

From the moment you contact us, we will take the time to understand your interests, travel duration, budget, preferred level of accommodation, and any special preferences you may have. Based on this, we will begin designing a custom-made itinerary tailored entirely to you. We’re happy to refine your proposal until it perfectly reflects your vision.

Once you approve the final itinerary, we will request a deposit to secure your booking. By confirming your itinerary, you agree to our Terms and Conditions.

Deposit Requirements:

For trips confirmed more than 90 days prior to departure, we require a deposit of 40% of the total trip cost plus any domestic flights (if required) paid in full. Alternatively, for smaller bookings:

  • US$750 per person for trips under US$2,000
  • US$2,000 per person for trips under US$5,000

Whichever amount is greater will apply. All payments may be made via bank transfer, wire transfer, or credit card. Please note that your reservation will not be confirmed until the deposit has been received.

Important: Certain destinations and services such as Easter Island, Galápagos Islands, Uyuni Salt Flats, and premium train journeys like the Belmond Andean Explorer or Hiram Bingham, as well as peak dates like Christmas, New Year’s, National Holidays or Easter dates may require different deposit conditions. We will inform you of these at the time of booking.

Flights:

All flights purchased in addition to or in conjunction with any package must be paid in full at the time of booking and are strictly non-refundable. This includes regional, and domestic flights booked through SOUTH AMERICAN LUXE S.A.C. on your behalf. Flight prices are subject to availability and current rates at the time of reservation, and bookings are non-transferable, non-refundable. Please note that airlines may occasionally reschedule or cancel flights; in such cases, we will do our best to inform you promptly and assist in arranging suitable alternatives. However, as these changes are outside the control of SOUTH AMERICAN LUXE S.A.C., any additional costs incurred as a result must be covered by the client.

Paying Your Balance

The 40% of your entire balance of your trip will be due 60 days before the trip is to begin. If you have booked fewer than 60 days before your travel date, full payment will be due within five days of your approval of your customized itinerary. The trip balance is payable by bank or wire transfer to the account we specify, or credit card. The rest of your balance needs to be paid in full at least 45 days before your trip starts.

Postponing Your Trip

SOUTH AMERICAN LUXE S.A.C. understands that certain circumstances may arise in which clients are not able to travel on their original planned dates. If we receive written notice of your desire to postpone your reservation up to 30 days before travel, we will transfer the paid balance of your trip, less a $200.00 administrative fee and any non-refundable expenses incurred, to a later date (this later date must be within one year, or 365 days, of the original departure date).  Non-refundable expenses may include but are not limited to: domestic flights, train reservations, hotel accommodations, etc. (according to each provider’s individual policies).

If postponing a trip from one calendar year to the next, please be aware that certain prices may increase according to the different policies of our various providers. But we do promise: to reduce any fees and penalties wherever possible, in order to help our clients successfully postpone their trip with us.

Making Changes to Your Trip

Once your trip is confirmed, any changes to travel dates may be subject to additional fees, rate differences, and hotel availability. SOUTH AMERICAN LUXE S.A.C. cannot guarantee reservations at the same hotels or services if changes are requested after confirmation. All modifications must be submitted in writing and approved by our team.

Cancellations & Refunds

SOUTH AMERICAN LUXE S.A.C. must receive written notice of your intention to cancel at least 30 days prior to your scheduled departure in order to begin the cancellation process.

Where applicable, refunds will be issued minus the following:

  • A base cancellation fee of US$125 per person, or US$500 total, whichever is greater.
  • Any non-refundable expenses already incurred on your behalf, including but not limited to flights, train tickets, accommodation deposits, or permits, depending on provider policies.

Trips cancelled 30 days or fewer before departure, including no-shows are non-refundable.

However, based on:

  • Trip inclusions and provider terms
  • Specific cancellation circumstances
  • Proximity to your travel date

…we may be able to recover part of the funds. Please contact your travel advisor as soon as possible to review your file. While we will do our best to help you recover costs wherever possible, we cannot guarantee reimbursement for cancellations made within 30 days of departure.

Once a trip has commenced, no refunds will be issued for any unused portions, including hotels, transfers, or missed services due to transportation delays or failure to arrive on time.

Travel Documents

It is your responsibility to ensure that you and your travel companions have all the necessary and valid documentation for your destination(s). This includes, but is not limited to: passports, visas, tourist cards, and required immunisations.

Passports must be valid for at least six (6) months beyond your return date, as many countries will deny entry if this requirement is not met. You are also responsible for checking and complying with entry and exit regulations of each country you plan to visit.

Travellers with minors should consult airlines and local authorities for specific documentation requirements. Minors under the age of 18 must be accompanied by a parent or authorised adult and may require notarised parental consent forms, birth certificates, or other legal documents depending on destination.

We will use the passport information you provide in your booking form to reserve flights, hotels, and other services. If your passport is renewed after booking, please carry both the old and new passports during travel. SOUTH AMERICAN LUXE S.A.C. is not responsible for any travel disruptions caused by invalid, incorrect, or incomplete travel documents.

Travel Insurance

SOUTH AMERICAN LUXE S.A.C. does not provide travel insurance, and confirmation of a trip does not imply any insurance coverage. We strongly recommend that you purchase a comprehensive travel insurance policy within 15 days of paying your deposit.

We are happy to recommend trusted providers who offer policies that include:

  • Trip cancellation/interruption insurance, covering non-refundable land and air costs
  • Emergency medical expense coverage
  • Emergency medical evacuation

From our experience and that of our international clients, we cannot recommend travel insurance highly enough.

Limitation of Liability

SOUTH AMERICAN LUXE S.A.C. acts solely as an intermediary between travellers and independent service providers, including but not limited to hotels, airlines, transportation companies, and local operators. As such, we do not own, operate, supervise, or control any third-party services.

We are not liable for any injury, loss, damage, inconvenience, delay, or irregularity arising from circumstances beyond our control, including but not limited to: acts of God, weather conditions, strikes, civil unrest, criminal activity, transportation delays, government actions, or changes to travel restrictions.
